Job Description:

Our art installation and delivery client are looking for an Operations Lead to head their project management department on a permanent basis. This role is based in London – hybrid remote, office and site based. Some travel when required.

 

Client:

Our client is an art consultancy that works with artists across the world to commission works for hospitality and commercial clients. They look to bridge the gap between art and business ensuring artists get fair pay and that businesses have access to some of the globes most exciting artistic talent. Projects vary from quick single pieces to complex collaborations of 100+ contributors.

 

Role:

They require an Operations Lead to come into the organisation and lead the project delivery function, taking a hands-on role in driving the project logistics and installation, client engagement, stakeholder management, leading the internal project team and engaging external suppliers.

Reporting to the COO, you will have direct line management responsibility for a project coordinator, multiple art handling technicians and varying levels of freelance support.

This role has a strong focus on logistics as a large portion of the work is internationally based and requires excellent organisation and coordination skills. Candidates with experience within the hospitality environment are desirable, but this is not essential.

 

Key tasks:

  • To oversee the delivery of all projects on time and budget including but not limited to; quoting, job sheets, purchase orders, invoice databases, bespoke framing, installation diary management, client liaison
  • To maintain high-level and smooth client and supplier relationships by regular and open communication with all connected parties.
  • Manage and oversee incoming/outgoing art in storage, ensuring it is logically and regularly documented.
  • To innovate, implement and deliver sound business processes and systems including working closely with the Managers and Board, delivering on internal and external strategy and communications
  • Track logistics performance and report weekly to the COO on your personal performance, aiming to exceed targets and minimize overheads, finding cost-savings wherever possible while maintaining exceptional collections and logistics.
  • Constantly innovate and strive to find sources for new suppliers, including but not limited to, speaking with new suppliers the phone and in person; utilising social media; building strategic partnerships; press scanning; networking.
  • Measure and report on key indicators of our environmental impact and work with the COO and internal teams to deliver on strategies to reduce it including facilitating charitable partnerships and donations.
  • To effectively manage the Project Coordinator and Art Handling Technician team, ensuring employees are motivated and engaged, overseeing Personal Development Plans, and ensuring your team are meeting targets.
  • Promote and be an ambassador for the Company at all times by attending industry events (specifically in the spheres of suppliers, Workplace, Hospitality, Interior Design, and Architecture).
  • To work closely with the Managers and Board, delivering on internal and external strategy and communications including but not limited to; managing your departmental budget; organising team socials; reporting to the Board and wider company on a regular basis.
 

Essential skills and experience:

  • Demonstrable project management experience – ideally within a logistics environment. Experience of international hospitality projects would be highly beneficial.
  • Strong leadership skills (internal and external resources) and experience in a line management role.
  • Excellent communication skills – verbal and written.
  • Excellent supplier management – both UK and internationally based.
  • Previous experience working in a bespoke design or custom installation environment – beneficial.
  • Highly organised.
  • Excellent attention to detail.
  • Ability to operate in a busy environment, bringing a calm approach to problem solving.
  • An Art/Artist background or experience working in a cultural/art organisation – beneficial.
